Objectives/Goals
The primary objective of the Vehicle, Garage, and Transportation Service Executive is to ensure the efficient, safe, and sustainable management of the university’s transportation services, vehicles, and garage operations. The Executive aims to support the academic and administrative functions of Wolkite University through timely and reliable transport services, regular maintenance of university vehicles, and effective use of resources.
Duties and Responsibilities
- Transportation Management
- Plan, coordinate, and oversee the provision of transportation services for university staff, students, and guests.
- Ensure availability and deployment of vehicles for academic, administrative, and field-related activities.
- Vehicle Allocation and Scheduling
- Develop fair and efficient systems for vehicle allocation and usage based on priorities and needs.
- Maintain trip schedules and monitor fuel consumption to ensure cost-effectiveness and accountability.
- Garage Operations and Vehicle Maintenance
- Supervise the operation of the university garage, ensuring timely and proper maintenance, servicing, and repair of all university vehicles.
- Ensure the availability of tools, equipment, and spare parts necessary for routine and emergency maintenance.
- Fleet Management
- Maintain an updated inventory of all university vehicles, including technical details, maintenance history, and usage logs.
- Recommend vehicle replacements or disposals based on technical inspections and cost-benefit analysis.
- Staff Supervision and Capacity Building
- Manage and supervise drivers, mechanics, and garage staff, ensuring discipline, performance, and safety compliance.
- Organize regular training and awareness programs on safe driving practices, vehicle care, and customer service.
- Safety and Compliance
- Ensure all vehicles are insured, registered, and comply with legal and safety regulations.
- Monitor and enforce adherence to road safety rules and internal transportation policies.
- Resource Management and Budget Control
- Plan and manage the budget related to fuel, maintenance, repairs, and other logistics.
- Control costs through efficient use of fuel, timely repairs, and preventive maintenance.
- Reporting and Documentation
- Prepare periodic reports on vehicle use, fuel consumption, garage operations, and transport-related issues.
- Maintain accurate documentation and logs for auditing and management purposes.
- Support for University Operations
- Provide transportation support during university events, academic field trips, and emergency services.
- Coordinate logistics for VIP visits and special assignments requiring mobility support.
