I. Objectives/Goals
- Ensure Operational Efficiency: Oversee and manage all general service functions of the university to ensure smooth, effective, and uninterrupted administrative operations.
- Support Teaching and Learning: Provide logistical, maintenance, and facility-related support to enhance the core mission of the university education and research.
- Promote Safety and Sustainability: Ensure that the university’s infrastructure, utilities, and service operations adhere to safety, environmental, and sustainability standards.
- Enhance Service Delivery: Improve the quality and responsiveness of services such as transportation, security, cleaning, maintenance, and other support systems.
- Resource Optimization: Ensure efficient and cost-effective use of resources, including human, financial, and material, in the execution of general service activities.
II. Duties and Responsibilities
- Facility and Infrastructure Management
- Supervise the maintenance of university buildings, offices, lecture halls, dormitories, and other facilities.
- Oversee renovations, repair works, and ensure proper upkeep of physical infrastructure.
- Transport and Logistics
- Manage the university’s transportation system including vehicle allocation, maintenance, and scheduling.
- Ensure that logistics support is provided efficiently for university events, fieldwork, and academic travel.
- Security and Safety
- Coordinate and supervise campus security operations.
- Work with relevant bodies to develop and implement safety protocols and emergency preparedness plans.
- Cleaning and Sanitation
- Oversee cleaning operations across university facilities to maintain hygiene and a conducive learning environment.
- Monitor sanitation service providers and ensure compliance with health standards.
- Utilities and Supplies
- Manage utility services such as water, electricity, and telecommunications.
- Ensure continuous provision and timely maintenance of these services.
- Property Administration
- Keep proper records and supervise the utilization, maintenance, and disposal of university property and equipment.
- Monitor inventory systems and ensure accountability of assets.
- Procurement Support
- Provide technical input in procurement planning related to general services.
- Collaborate with the procurement department to ensure timely and efficient service-related purchases.
- Team Leadership and Staff Management
- Supervise and evaluate the performance of general service staff.
- Facilitate training and capacity-building programs for the general services team.
- Reporting and Documentation
- Prepare regular performance and operational reports.
- Maintain accurate records of general service activities, incidents, and resource usage.
- Compliance and Policy Implementation
- Ensure adherence to government and university regulations related to general services.
- Implement institutional policies and guidelines in service operations.
